Wedding and Function Venue AV: What to Install and What to Hire
Which parts of a venue’s AV are worth owning, which are better left to the band or DJ, and how to spec a function room so suppliers arrive prepared and the speeches get heard.

What in-house AV actually lets you sell
Barns, hotels, country houses and village halls all ask the same question: how much AV should we own? In-house AV earns its keep either as a line item you can price, such as an uplighting package, or as friction removal that prevents the complaint that reaches a review.
The rule that holds up across venue types: own the kit used at every event that your own staff can operate, and let suppliers bring the kit that changes with every act. Speeches, ceremony sound, background music and room lighting happen at essentially every wedding. A band’s PA, the DJ’s booth and the dance floor lighting change from booking to booking.

Speeches: the moment that gets remembered
Guests forgive an average band. They do not forgive not hearing the father of the bride. Speeches are the highest-stakes audio of the day, in a room full of hard surfaces and clattering plates, delivered by people with no microphone experience.
A handheld, plus a lapel option
The workhorse is a wireless handheld with a dynamic cardioid capsule. Dynamic capsules are less sensitive than condensers, which makes them far more forgiving in a live dining room, and a cardioid pattern rejects sound from behind. It also copes best with someone holding it badly, because holding it closer only helps.
Keep a bodypack and lapel microphone alongside it for the celebrant, or a groom who wants his hands free. A lapel sits further from the mouth and picks up more of the room, so it works at lower gain before feedback: a comfort option, not the default. Making it foolproof for a best man
- Hand it over already live. The most common speech failure is a muted microphone, so lock or tape the mute switch.
- Set gain once and leave it, and use the limiter if there is one: it makes a whisper and a shout equally audible.
- Show the hold, do not describe it: a fist’s distance from the mouth, pointed at the mouth, kept there.
- Put the speakers in front of the microphone. A mic between two loudspeakers will squeal however good it is: our feedback guide covers placement and gain.
- Fresh batteries every event, a wired spare plugged in, and one named person to power up, check both channels and hand the microphone over.
Ceremony audio in another room, or outdoors
Ceremony spaces are rarely the function room: a courtyard, a separate drawing room, a garden pergola. Quiet voices, no stage, guests in a wide arc, often no mains socket within reach. A battery-powered column or compact PA covers a seated audience evenly without being loud at the front, and stays discreet.
Check four things: honest battery runtime at realistic level, whether any built-in wireless receiver uses a band you can licence, whether it takes a second microphone, and how you play a processional track into it. Outdoors there are no walls to help, so intelligibility comes from proximity rather than volume: two small speakers either side of the ceremony point beat one loud speaker at the back. Background music and zones
Background audio is the least glamorous system in the building and the one guests notice most, because it runs from arrival to carriages. The right shape is one system feeding several zones: drinks reception, dining room, bar, often a terrace. Each zone needs its own level and ideally its own source, so the bar carries on while the dining room goes quiet.
- Fixed sources, no patching: a streaming player, a microphone input for announcements and a line input at the function room end, wired once and labelled.
- Source priority, so a paging input ducks or overrides music in chosen zones and an announcement gets heard without hunting for a volume knob.
- Staff control with limits: wall panels or a web app that let a duty manager pick a source and nudge the level, inside a ceiling you set at install.
- Keep it separate from the function room PA, so a band plugging in cannot take out the music in the bar.
For long runs and many small ceiling or surface speakers, 100 V line distribution is standard; for two or three speakers in one room, low impedance is simpler. Our commercial background audio guide covers both.
Music licensing is the venue’s job, not the couple’s
Playing recorded music, or hosting live performance, in a UK business generally requires a music licence. Under the Copyright, Designs and Patents Act 1988, permission is needed from copyright holders to play or perform music in public, and music played outside a domestic setting counts as public performance. That licence is TheMusicLicence, issued by PPL PRS Ltd, the joint venture between PPL and PRS for Music. The function room PA: install one, or provide power and space?
To be usable by visiting acts, an installed PA needs a properly sized stereo pair aimed at the dance floor, a subwoofer if the room and the neighbours can take one, an accessible input panel at the performance end with balanced XLR inputs, and processing a visiting engineer can drive or bypass. What kills installed systems is a locked DSP nobody can adjust.
Installing wins on faster load-ins, consistent quality, DJs who arrive with only a controller, and having something to sell. It loses because bands bring their own PA anyway; because a system that only just covers the room gets pushed into limiting on the first dance; and because once you supply it, the sound on the night is your problem.
The alternative is to provide only power, space and a spec: no outlay, no maintenance, no blame, but slower load-ins and inconsistent results. Most venues land in the middle, installing a system sized for speeches, ceremony playback and DJ-level music and saying plainly in the spec that it is not a band PA. Noise limiters: transparency is the whole strategy
If your venue has a noise limiter, tell couples and suppliers early and in writing. Limiters are usually there because of a planning or premises licence condition, not venue fussiness, and framing it that way removes most of the argument. Some are sound level meters driving a traffic-light display; others cut power to the stage circuit when a threshold is exceeded for a set period, which is the kind that ends a first dance.
Sensor placement changes everything. A sensor near the stage reads dramatically higher than one at the back of a room, so two venues with the same trip level behave completely differently. Publish the trip level, the sensor position, whether the device cuts power and what resets it. Suppliers can plan around that; they cannot plan around a surprise.
Bands work within a limiter by controlling the source rather than fighting the meter: drum volume down with an electronic kit or a shield, monitoring on in-ear systems rather than wedges, subwoofer eased off, and the reading checked at soundcheck at real playing volume. Lighting that sells
Uplighting packages
Lighting is where venue ownership pays back fastest, because the same fixtures go out every weekend. Battery uplighters suit barns and rooms with few sockets, because nothing runs across a floor guests walk on; mains fixtures suit fixed positions. Look for wireless DMX or on-board presets so staff are not running control cable either, and a charging flightcase turns a box of lights into a sellable product.
Warm white consistency is where venues get caught out. Buy one range and stick to it, including when you expand next year, or every third fixture ends up a different shade of cream, which is obvious in photographs. RGB fixtures make white by mixing colours, while RGBW, RGBA and hex fixtures have a dedicated white or amber emitter that gives a far more usable warm tone. Festoon in barns and courtyards
Festoon reads as decor rather than equipment and photographs beautifully, which is why it is the default look for barn interiors and courtyard receptions. Buy connectable systems so runs can be built to the space, check the manufacturer’s stated maximum connectable lengths from one supply, and specify IP-rated connectors outdoors. Scene control, and effects used sparingly
Duty managers will not learn a lighting desk. Specify control offering a handful of recallable scenes on a wall plate, tablet or architectural controller, named for the moment rather than the technology: reception, dinner, speeches, dance floor, clear-up. Set them once and lock the rest.
A little haze to give beams definition on the first dance looks excellent. A room washed in moving-head gobos all evening looks like a nightclub, so treat effects as the band or DJ’s territory. If you do offer haze, our smoke, haze and low fog guide explains the fluid and machine types.
Fire alarms and haze: check before you sell it
Haze and smoke can trigger optical smoke detectors, and low fog machines still put fine mist into the air. Never isolate a detector, a zone or a panel yourself. Any decision to isolate part of a fire alarm system rests with the venue’s responsible person, agreed with the alarm maintainer, recorded and reinstated afterwards. Test what your building tolerates with the alarm engineer present, before haze goes into a package.
Power and infrastructure
- Sockets where the work happens. Bands need power at the performance end, not one double socket by the door. A barn with power only at the entrance means leads across the dance floor every event.
- Distribution for suppliers. One 32 A or 16 A outlet at the stage end for a supplier’s distro is far more useful than a wall of 13 A sockets sharing a ring.
- Outdoor, IP-rated provision for courtyard festoon, ceremony PA and marquee feeds, not a lead through a window.
- Cable routes and labels: a covered route to the mix position, and outlets marked with circuit and rating.
Fixed electrical work and work at height
New circuits, distribution boards, outdoor supplies and any permanently installed wiring are for a competent, qualified electrician. Anything mounted overhead or installed at height is for a competent installer or rigger. Working with bands and DJs: write the spec sheet
One page, sent with every booking confirmation, prevents most problems on the day. It should answer everything a supplier would otherwise ring up and ask, or worse, guess at.
- The room and its power: dimensions, ceiling height, performance area size, fixing restrictions, and what outlets exist at the performance position with their ratings and circuits.
- Noise limiter: the trip level, sensor position, whether it cuts power, and what resets it.
- In-house PA: what it is, what inputs are available and where, whether visiting acts may use it.
- Load-in and parking: door sizes, distance from the vehicle, steps, lifts, whether a trolley works, where vehicles go and whether they stay overnight.
- Timings: access, soundcheck window, curfew for amplified music, and when the room must be cleared.
- Contacts and house rules: who to call, who holds keys, no haze without prior agreement, no fixings into the fabric, and your insurance or testing requirements.

Storage, staff training and a one-page operating sheet
AV that lives in an attic does not get used. Give the kit a locked cupboard near the function room, in labelled cases, with chargers on a permanently plugged-in shelf and a consumables box: batteries, spare leads, a wired spare microphone and gaffer tape. Training need not be ambitious: aim for two people per shift who can power up in the right order, select a source in each zone, hand over a microphone and recall a lighting scene. Back it with a laminated one-page operating sheet inside the rack door, plus a photograph of the rack set correctly.
A phased investment plan
Phase 1: speeches and background music. A two-channel wireless system with a handheld and a lapel option, speech-capable speakers covering the dining room, and a zone controller with fixed sources and staff volume limits. Add a battery column PA if ceremonies happen elsewhere, and get TheMusicLicence in place.
Phase 2: lighting packages. The phase that pays back. Matched battery uplighters in a charging case, festoon for the courtyard or barn structure, and simple scene control. Priced as a package and shown in your own photography, it converts enquiries.
Phase 3: the function room PA and infrastructure. Leave the big spend until last, deliberately, because by then you know what your acts actually bring and where the sockets need to be. Then do it properly: a stereo pair sized for the room, an input panel at the performance end, and the power distribution and cable routes specified together rather than bolted on.
Common mistakes
- No reliable speech microphone. Borrowing the DJ’s spare is not a plan; speeches often happen before any supplier is on site.
- Hiding the noise limiter. Publish the level, sensor position and behaviour up front, or it gets discovered at the worst moment.
- No technical spec for suppliers. Every question a band has to guess becomes a problem on the load-in.
- Domestic equipment in commercial use. Consumer soundbars and DIY-shed festoon are not built for seven days a week in a business.
- Uplighters with no control plan. Sixteen fixtures with no charging case, no wireless control and nobody trained to change the colour is storage, not a package.
- Ignoring music licensing. The venue is normally the licence holder; assuming the DJ has it covered is the wrong assumption.

There is no standard figure. Trip levels come from the venue’s planning or premises licence conditions and vary enormously, and sensor position changes what any level means. What matters is publishing your own level, the sensor position and whether the device cuts power.
Are battery uplighters better than mains for a barn?
Usually. Barns rarely have perimeter sockets, and running mains cable around a floor guests walk on is a trip hazard and a matting job every week. Battery fixtures with wireless control, kept in a charging flightcase, are far quicker to deploy.
What is the best microphone for wedding speeches?
A wireless handheld with a dynamic cardioid capsule. It is forgiving of poor technique, resists feedback better than a lapel or a condenser in a live dining room, and gets louder when a nervous speaker instinctively holds it closer.
